TRANSACTION ASSISTANT

  • Input Listings and subsequent maintenance of the listing

  • Create initial Marketing for  Listing 

  • Dotloop (or other online document creator software) – Document Creation or modification as needed

  • Provide Transaction Assistance and support to agents who are on The Shopper Team and other agents as agreed (i.e. writing draft offers for agent review in agents dotloop , creating listing agreements in agents loops, creating buyer agency agreements in agents loops and inputting their listings in MLS) Agents to review and send out themselves after approving

  • Compliance Review – Check files for accuracy of paperwork and missing documents (follow up to ensure the file is complete and accurate).  

  • For Agents who are contracting for Transaction Assistance, assist with procuring any outstanding documents.

  • Run Comps and provide CMA’s as needed to various agents and clients  (example:  project to be completed – go through all past sales and run comps on their current home and email to them to see if they are ready to sell)

  • Update Tenant Cloud or other Property Management website, assist in transitioning software services if and when needed)  -  keep tabs on which leases are expiring to renew and if payments are behind so we can initiate eviction process)

  • Check office email and voicemail and follow up or respond as needed  (some messages forwarded on and some you will respond to directly )

  • Update Facebook Biz Page and Groups:   

  • Manage Social Media Presence and Help manage the ads 

  • Schedule Open Houses on any Active Listings – (Communicate directly with the Agents and Press for aggressive strategies to help us get the listings sold)

  • Tracking – Turn in Weekly and Monthly Performance Log tracking progress on various tasks and projects and their outcomes and review with Team Leader to identify where we can improve efficiency or results.

  • Request Testimonials: This is time sensitive and must be coordinated with the Agent to make the request during the transaction at the time when the client most likes the agent.  

  • Help plan and coordinate Customer Appreciation Events and Office Meeting and Office Year End party.

  • Conduct Follow up “autopsy calls” as needed

  • Dotloop (or other online document creator software) – Document Creation or modification as needed

For Virtual Positions Only:  Working for 2 employers during same hours is strictly forbidden.  Availability to be online/on video call is required during all shifts.    The objective is not to feel that we are your “client” but to feel that you are part of our company and we are a Team! Communication is key to ensuring the perception is not given that there could be falsification of timesheets.  Unresolved concerns about this may result in termination without notice.  If fraudulent timesheet is confirmed unpaid Bonus may be jeopardized and are subject to elimination.   

For Non-US Citizens:  You will be Paid through Quickbooks (subject to change if determined a better conversion system is available)  Productivity will be tracked in Performance and through Hubstaff use of viewing computer monitor activity.  

 

CURRENT BONUSES IN PLACE FOR  – TRANSACTION ASSISTANT (Admin I):

CLEAN AUDIT BONUS:  $300 BONUS PAID AT MONTH END PAYROLL DURING MONTH OF AUDIT RESULTS.

HOW TO EARN:  Make sure all transactions are completed and reviewed for accuracy and completion.  Find or create missing documents, correct inaccurate documents, get any missing signatures or initials.  Mock Audit would be beneficial.  Audits happen anytime during a 3 year period.  Our last audit was 2 years ago.  We are due for an2 audits during this upcoming year (one in Kansas and one in Missouri).  Extra reading about the audit process may be helpful.  

 

LISTING INPUT BONUS:  $100  Bonus for Inputting the Listings in MLS for any transferring agent. (Per Agent)  (or)  $300 BONUS = INPUTTING 10-29 LISTINGS IN A MONTH.   (or) $500 BONUS FOR INPUTTING 30+ LISTINGS IN A MONTH.  

 

HOW TO EARN:  

1.  Example The Shopper Team and other Transaction Assistant Agents sign under Agency a lot of listings.   (Goal it supports: Sales Volume)

2. Our Office Manager recruits agents who have existing listings that you input as part of transferring them.  (Goal it supports: Recruiting)

3.  Offer to input listing for other agents in our office.   (Goal it supports:  Retention)

4.   Spartan sells some listing packages for St Louis investors   (Goal it supports:  Spartan Flat Fee Service)

 

BUYER TRANSACTION BONUS:  $50 Bonus per transaction for each file that closes where you were Transaction Assistant. (Applies to all agents on The Shopper Team (excluding Angela) and all agents not on The Shopper Team.  Paid either at the end of the month the file closes or when it funds depending on additional costs for wiring fees if any)

PERSONAL TIME:  YOU ARE ELIGIBLE FOR 10 DAYS OF PERSONAL UNPAID TIME OFF.  MINIMUM NOTICE OF 2 DAYS AND A COORDINATION/ARRANGMENT FOR COMPLETION OF ANY WORK THAT HAS AN UPCOMING DEADLINE BE MADE IN ADVANCE.  REQUESTS FOR PERSONAL TIME MUST BE MADE IN WRITING AND A WRITTEN RESPONSE WITH APPROVAL OR DENIAL TO BE MADE BY THE TEAM LEADER OR OFFICE MANAGER

SICK TIME:  YOU ARE ELIGIBLE FOR 3 UNPAID SICK OCCURRENCES (MULTIPLE DAYS IN A ROW COUNT AS ONE OCCURRENCE) IN A CALENDAR YEAR WHERE YOU ARE UNABLE TO GIVE APPROPRIATE ADVANCE NOTICE.

YOU ARE RESPONSIBLE FOR ALL NECESSARY FEDERAL AND PROVINCIAL TAX DEDUCTIONS RELATING TO YOUR PAY.  YOU WILL BE PROVIDED WITH A YEARLY GOVERNMENT REMITTANCE FORM, INDICATING YOUR EARNINGS.  

IF THIS CONTRACT IS TERMINATED BY EITHER THE EMPLOYEE OR EMPLOYER, ALL OUTSTANDING WAGES FOR HOURS WORKED UP TO THE DATE OF DEPARTURE WILL BE PAID TO YOU IN FULL AS PER THE REGULAR PAYROLL PAY PERIOD.  ALL OUTSTANDING COMMISSIONS OWED TO YOU ON FIRM DEALS WILL BE PAID TO YOU UPON CLOSING.

LEADS/CLIENTS:  ALL LEADS/PROSPECTS/CLIENTS ARE THE SOLE PROPERTY OF WINGMAN REALTY OR SPARTAN.  ALL SYSTEMS/LEADS/DATABASES ARE STRICTLY CONFIDENTIAL AND ARE NOT TO BE DISCUSSED OR SHARED WITH ANY PERSON, BUSINESS, OR ENTITY OUTSIDE OF OUR TEAM. 

PROFESSIONAL REQUIREMENTS:  IT IS UNDERSTOOD THAT YOU NOT REQUIRED TO HOLD A REAL ESTATE LICENSE TO PERFORM THE TASKS AS OUTLINED IN THIS CONTRACT.  

WHENEVER REPRESENTING WINGMAN REALTY OR THE SHOPPER TEAM, YOU ARE REQUIRED TO CONDUCT YOURSELF IN A BUSINESS-LIKE MANNER, AND TO PROJECT A PROFESSIONAL IMAGE.
